Present: Grace Agnew, Isaiah Beard, Sujay Daniel, Robert Harris, Chuck Hedrick, Judy Jeng, Linda Langschied, George Laskaris, Sandie Miller, Tom Nemeth, Sheri Prupis

Update on Progress Hiring Programmers:

Applications are currently being received for programmers at NJEdge through Craig's List Job postings are listed under:

  1. Systems Programmer
  2. Applications Programmer
  3. Internal to NJEDge

Server:

  • Isaiah is waiting for Sun Microsystems to release new server.
  • Sheri says we could use the existing technology at Rutgers for the time being until WMS and Fedora are ready at NJEDge this summer.
  • Work with Shibboleth will not begin until programming staff is hired.

RU Fedora:

  • Next version due out in summer; currently have Beta version for use
  • 2-4 weeks error checking at Rutgers before delivery to NJEDge in August
  • Can currently host approximately 100 hrs of footage <= current total storage capacity
  • Grace adds: NJVid Commons - timeline and deliverables needed from each workgroup - When do we want to go "live" with the commons? How many videos are sufficient for going live? We should not need the Sun equipment in place to go live, as long as we do not exceed storage capacity

Web Site and Alpha Implementers Meeting:

  • Sandie has been encouraging alpha implementers to use the blog
  • Consensus is that Alpha Implementers meeting on 3/7/08 was productive
  • Alpha Implementers meeting minutes and PowerPoint slides have been posted to site

NJDH:

  • NJVid-relevant videos among NJDH collection point to NJVid proper
  • NJDH should map to NJVid where appropriate so as to avoid separation between the two

Triaging Collections:

  • Need to prioritize alpha implementers' collections so that the best and most useful content is uploaded first - e.g. 20 hours in support of K20; 5 hours in support of museums, etc. - a thematic orientation upon startup will guide browsing and organization - no puff pieces
  • Need to develop selection criteria for doing this
  • Question raised whether it is Locally-Owned Collections work group's responsibility to develop the criteria?
  • Need to ascertain each institution's motivations for utilizing NJVid
  • Grace says Locally-Owned Collections work group should oversee this but not be sole voice in the matter; they should devise and propose the criteria while the other committees weigh in and approve the criteria

Technical Work Group:

  • What is the extent of their responsibilities?
  • Sandie says they should participate in meetings
  • Grace is concerned about the group possibly getting bogged down
  • Linda plans to hold a meeting regarding project sustainability

Workflow:

  • Isaiah mentions devising primer covering workflow, standards, transcoding Windows Media files and the process of sending videos to Rutgers for digitizing
  • Need to determine how much work is feasible in light of time consumption (consider 1 hour of footage = 1 hour of digitizing) and as-yet undetermined staff funding

Funding:

  • Rutgers and NJEDge have yet to receive funding
  • Sandie clarifies they need to submit invoices - this issue requires separate meeting
  • Need to determine the extent of necessary funding

Authentication, Authorization and Workflow:

  • Will we use MARC codes for authentication? - Two-week turnaround when submitting request Ron and Isaiah can explain
  • How do we uniquely identify organizations for authorization purposes?
  • Modifying entry form for workflow entry system - What metadata elements are critical to collect? - We will consult alpha implementers
  • Initially, we will catalog with the full WMS and establish a template, but we need an entry form that is simple and intuitive, with authorization for alpha implementers to use - use test database with different templates - give to VALE Catalogers to test out - programming the WMS next year
  • We do not have time to load metadata and index it - Need to propose this challenge to VALE for feedback
  • Sujay ought to get a feel for Fedora by using project's initial uploads - "boot camp"
  • George expresses a need for timetables to be established
  • Charles clarifies that a local institution needs an identity provider such as JAVA Tomcat to talk to LDAP and verify user's identity - we need guidelines for implementing this
  • We need to insure Fedora is properly engaging Shibboleth

Two Surveys to be written soon:

  1. Technical - What are users' technical requirements to enable participation in NJVid?
  2. Results will determine each organization's implementation management Aim for end of April
  3. Scenarios of Use - aim for March 26

Plan for Advisory Board Meeting in Late April:

  • A&A broad scenarios to be presented
  • Board to give advice on how to realize the scenarios in real world environment
  • Board to give advice on access usage - how is it envisioned?
  • Talk about preliminary goals for Commons - is the currently established timeline too tight?
  • A few videos are already encoded -- we should encode a few more and preview the nascent NJVid Commons collection for the advisory board

Review of Presentation Proposals and Marketing to Date:

Internet2 - Sheri/Sandie (broad overview) - Isaiah - George L. - StateNets

Survey Results:

No further updates

NJVid URL:

  • NJVid URL to stay as is for time being until new server arrives
  • Sujay clarifies it will take approximately a month to redeploy to NJEDge
  • Redeployment will change NJVid's URL
  • Will establish pointer address to NJVid approximately a week before Advisory Board meeting

NJVid site:

  • Need graphic on front page announcing timetables for development:
  • Summer 08: NJVid Commons; Fall 08: AI uploaded to Commons; End of 08: Commercially licensed videos; End of 2009: Lectures on Demand
